Kingscroft Professional Resources General Data Protection Regulation Policy

The General Data Protection Regulation (GDPR) supersedes the 1998 Data Protection Act. This regulation requires businesses to manage personal data in a much more structured and open manner. The GDPR comes into effect on 25th May 2018

All employees of our organisation have been briefed on GDPR compliance and additionally a data protection officer has been designated. In addition all procedures have been put in place to detect, report and investigate a personal data breach.

Kingscroft Professional Resources does hold personal data of job applicants, this data constitutes what you would typically find on a Curriculum Vitae which includes telephone numbers, email addresses, home addresses, current and previous employers, educational establishments attended and in some cases date of birth. All data we hold is in the form of candidates CV on a CRM database, or candidates that have registered their details on our website or applied for a position via our website.

Kingscroft Professional Resources do not hold, ask about or retain any of the ‘special categories of data’ which include:

• Racial or ethnic origin
• Political opinions
• Religious or philosophical beliefs
• Trade-union membership
• Genetic and biometric data
• Health, sex life and sexual orientation

As a result we need not consider these special categories


Customer Relationship Management (CRM) and Email Systems

Kingscroft Professional Resources receive applicants CV’s via email, and once we have received a CV we must obtain verifiable consent before we can store it on our CRM database, or take any further action. This means we must ask candidates to actively opt-in rather than opt-out. The following are the actions that Kingscroft Professional Resources’ will take once we have consent.

• Personal data retention
• Submission of candidate CV to a client
• Third party collaborations ( we will seek additional consent for any 3rd party processes)
• Marketing and communication
• Payroll information

In our case consent opt-in will be in the form of one of the following.

• Clicking an opt-in button/link or signing electronically
• Responding to an email requesting consent
• Answering yes to a clear verbal consent request
• Applying to a job advert that request consent

In the case of a verbal consent request this will be read from a script and then recorded on our CRM.

Should any candidate want us to erase their data, we will comply with this request with immediate effect.
